Remote Work Checklist
Onboard and manage remote employees
Send new employees all necessary equipment for their work and assist them with setup, if necessary. Also assure security (anti-virus software, secure file sharing, data encryption, password management).
Send a welcome email with, for example, an onboarding itinerary, key contact details, employee handbook, and login credentials to the company intranet.
Add calendar invitations for the new employee to e.g. sprint review / planning / retro / backlog grooming meetings.
Send 'Your first week' email a few days before with instruction on how to set up the laptop, timetable for introductions and onboarding intros. In addition login details for email and initial key accounts.
Does your remote employee have individual requirements regarding WiFi / internet connectivity, workspace (ergonomic working environment)? Do they require tools for managing workload (time management)?
Help your new employees feel like a part of the team by sending them some swag, for example, personalized gifts, goodie bag, branded merchandise, or a welcome letter.
Make sure new employees have signed all legal documents, for example NDAs.
If possible, arrange an in-person meeting from time-to-time. Or organize an onsite team-building event for the whole team, so remote workers get to know their coworkers.
Share feedback regularly. Also encourage employees to give frequent feedback and use survey tools to track their mood and engagement.
Remote employees are part of your culture, even if they are not in the office. Share with them an employee handbook, pictures, videos, and other presentations or literature about your company's mission, purpose and values.
Ensure new employees have access to all the communication tools, for example Jira, Confluence, Slack, ...
Set expectations with short- and long-term goals and milestones. For example set success metrics and key deliverables for first few months.
Set up meetings with their team members / managers / coworkers. For example a one-to-one meeting with the manager or supervisor.
Use interactive training courses, and encourage employees to request any online training courses they need.
Schedule an HR check-in meeting to follow up to see how new hires are doing.
Establish when remote employees are unavailable due to living in distant time zones. In addition to sleeping and resting times, respect the local religious holidays.
Ensure your responsibilities regarding remote employees health and safety at work. You have to comply with legal duties relating to remote working.
